Procurement Officer – Maternity Cover

Key Duties and Responsibilities

Responsibility 1: Procurement Support & Follow-Up

  • Support and follow up the Country procurement organization.
  • Involving in setting procurement plans in collaboration with Country Logistics Manager and project Managers.
  • Support Country Log Manager to analyze the local market and keep an up-to-date database of local suppliers.
  • Organize country procurement process according authorized PSR in line with HI Purchasing procedure.
  • Follow up Supply records of Purchase monitoring Chart (PMC).
  • Organize country transportation of merchandise.
  • Ensure goods and services comply with requests (quality, quantity, price, deadline, origin).

Responsibility 2: Warehouse & Stock Management

  • Manage warehouse/storages for equipment and items at Capital Level.
  • Follow up stock needs and prepare PSR for operation kits.
  • Update monthly stock report (SMC) based on Stock Card.
  • Organize periodic inventory stock take and controls.
  • Manage stock distribution for project operation sites.

Responsibility 3: Administrative Archive & Filing

  • Manage supplies archives manually and digitally.
  • Maintain Archive Monitoring Chart.
  • Provide auditing documents in collaboration with Log and Finance managers.

Responsibility 4: Compliance with HI Policies

  • Adhere to HI code of conduct, ethics, and policies (child protection, anti-bribery, etc.).
  • Ensure security rules are followed by the team.

Responsibility 5: Emergency Preparedness

  • Contribute to emergency preparedness and adapt practices during humanitarian responses.

Qualifications, Skills and Experience

  • Bachelor’s degree in Procurement and Supply Chain Management.
  • At least three (3) years of work experience in Supply Chain (Procurement) within an international NGO.
  • Knowledge of generic Supply Chain procedures and practices.
  • Proficiency in planning, purchasing, stock management, and donor/programme management.
