CIC General Insurance Uganda Limited is a subsidiary company of CIC Insurance Group from Nairobi, Kenya that is owned 75% by co-operatives and 25% by individual shareholders. CIC General Insurance (U) is a joint venture of CIC Kenya and the Co-operative movement in Uganda. The company is fully incorporated and licensed to transact General Insurance business. In addition to the General policies available for institutions, corporate, individual and all categories of entities, the Company serves all Co-operative Societies in Uganda along the Co-operative Model.

Job Summary

The role provides high-level executive support to the Managing Director, managing schedules, communications, and departmental operations. It also functions as a strategic business analyst, bridging the gap between departments and business by using data to inform decisions and drive improvements. Additionally, the role supports process reengineering, and insurance product development through research, analysis, and stakeholder collaboration.

Key Duties and Responsibilities

Executive & Administrative Support

  • Oversee the Managing Director’s calendar, travel arrangements, correspondence, and meeting coordination.
  • Act as the primary liaison between the MD and both internal and external stakeholders, ensuring clear communication and prompt responses.
  • Organize and coordinate board, Management and staff meetings.
  • Compile and review department annual budgets and board reports.
  • Provide administrative support to senior management as needed.
  • Handle confidential communications and executive-level scheduling with discretion and professionalism.
  • Prepare agenda, minutes from management meetings and submit accurate comprehensive board reports.
  • Exercise sound judgment and maintain strict confidentiality while independently managing executive priorities and requests.
  • Prepare and proofread reports, briefing documents, and presentations for executive meetings, board sessions, and strategic engagements.
  • Research and provide recommendations on special projects/assignments.
  • Prepare a variety of forms, requisitions, memorandum, letters as directed by MD
  • Track and follow up on decisions and action items from executive meetings, ensuring accountability across departments.

Business Support

  • Monitor business trends and provide reports on operational controls.
  • Support process reengineering projects.
  • Consult departments to define needs and translate them into strategies.
  • Compile and analyze reports from Head of departments to identify trends, risks and opportunities.
  • Track performance against strategic and operational budgets.
  • Support budgeting, Planning and resource allocation.
  • Act as liaison and escalation point for the Branch & Distribution Team, Cooperatives department, Life Sales Team, ensuring timely resolution of issues.
  • Coordinate and oversee the distribution of marketing and promotional merchandise to branches and field teams.
  • Monitor competitor activity, regulatory changes, and market trends to inform business strategy.

Systems Analysis & Strategic projects

  • Develop Business Requirement Documents (BRDs) and functional specifications to support the business.
  • Partner with the ICT team to ensure systems meet business needs.
  • Support the implementation of new initiatives, including product launches, process enhancements, and business expansion projects.
  • Collaborate across functions to monitor performance, track progress, and ensure alignment with strategic objectives.

Board & Report Preparation

  • Draft presentations, board papers, and executive summaries.
  • Organize and prepare materials for leadership meetings, board sessions, and strategic planning discussions.
  • Compile and review department board reports before they are submitted to MD.

Audit, Compliance & Risk Management

  • Ensure compliance with statutory regulations, internal policies, and audit standards
  • Ensure adherence to statutory regulations, company policies, and audit requirements.
  • Proactively manage and escalate risks within the subsidiary
  • Follow up on issues raised by internal Audit/ Risk and compliance for implementation.

Qualifications, Skills and Experience

  • Bachelor’s Degree in related field
  • Professional Qualification: Qualification in relevant professional field
  • Relevant experience: 3 Years and above
